Position Summary

An exciting opportunity has arisen for an Executive Assistant to work for the CEO of a fast paced, entrepreneurial group of brands and businesses specialising in sport, entertainment and social development across the world.  The EA & Office Manager will provide administrative support to the CEO both in his professional and personal life. They will also provide support when need to Senior Management with organisation, scheduling, correspondence and meetings. This is a unique chance to join a very exciting and growing business where no two days are the same. The successful candidate will also support company operations by maintaining the office and systems.

Key Responsibilties

Executive Assistant

  • Diary management - organise and schedule meetings for CEO and when required, Senior Management
  • Prepare meeting agendas, research for meetings, prepare documentation and take minutes when needed
  • Book business travel, including flights, transportation and accommodation for CEO, Senior Management and other staff members when needed
  • Communicate with Board Members, schedule Board Meetings, arrange agendas
  • Liaise with clients and business guests
  • Client invitation management – including high profile/VIP clients and liaising with Event Managers
  • Assist with business expenses – collating receipts for company credit cards
  • Maintain Benchmark website and keep up to date
  • Event support when required

 

Office Management

  • Ensure smooth running of the office on a day-to-day basis
  • Maintain office efficiency through planning and implementing office systems, layouts, and equipment
  • Maintain office services by organising office operations and procedures and carrying out clerical functions
  • Manage stationery, equipment and essentials for the office
  • Maintain the office condition and arranging necessary repairs
  • Liaison with building management for the office
  • Create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety
  • Manage post – incoming and outgoing
  • Address employees’ queries regarding office management issues
  • Ensuring that health and safety policies for the office, including fire safety, are up to date and carried out
  • Perform reception duties i.e. answering the phone, front door
  • Manage office budget
Required Skills/Experience

Essential:

  • 2-3 years’ experience as a Personal Assistant or Executive Assistant
  • Eligible to work in the UK
  • Excellent communication skills both internally and client facing
  • Calm and focused under pressure
